2. What personal data we collect

We collect the following categories of personal data:

  • Enquiry and contact form data: when you submit a contact form on our site, we collect your name, email address, phone number, and any message you provide.
  • Newsletter and marketing sign-up data: if you subscribe to updates from us, we collect your email address (and, where provided, your name) via our email marketing tool.
  • Client and billing data: if you become a client, we collect the information necessary to deliver our services and take payment, including business details and, for Direct Debit payments, information processed by our payment provider, GoCardless.
  • Automatically collected data: when you browse our website, we automatically collect technical data including your IP address, browser type, device information, pages visited, and how you interact with our site, via cookies and similar technologies.
  • Session and interaction data: we use Microsoft Clarity to understand how visitors use our site, which may include anonymised mouse movement, clicks, scrolling, and page interaction data. Clarity is configured to mask sensitive form inputs by default.
  • Reviews: where you leave a review of our business on Google, this may be displayed on our website via our reviews widget, in accordance with Google’s own privacy terms.

4. Who we share your data with

We do not sell your personal data. We share data with the following categories of third-party processors, solely to help us run our business and website:

  • Google (Analytics, Search Console, Business Profile Reviews) — website analytics and review display
  • Microsoft (Clarity) — website usage analytics
  • MailOptin — email marketing and newsletter delivery
  • Trustindex — displaying Google reviews on our site
  • GoCardless — processing Direct Debit payments for clients
  • Automattic (Akismet) — spam filtering
  • Our website hosting provider — storing the data needed to run semlocal.co.uk

We may also disclose your data where required by law, or to protect our legal rights.

5. International data transfers

Some of the third parties listed above (including Google and Microsoft) are based in, or process data in, the United States. Where your data is transferred outside the UK, we ensure appropriate safeguards are in place, such as the provider’s participation in the EU-US Data Privacy Framework (UK extension) or the use of Standard Contractual Clauses approved by the UK Information Commissioner’s Office.

6. How long we keep your data

  • Enquiries that don’t become clients: deleted after 24 months of inactivity.
  • Client records: kept for the duration of our working relationship and for 6 years afterwards, to meet our legal and accounting obligations (e.g. HMRC record-keeping requirements).
  • Marketing/newsletter data: kept until you unsubscribe or withdraw consent.
  • Analytics data: retained in line with the relevant provider’s default retention settings (currently up to 14 months for Google Analytics).

These are our current default retention periods; specific periods may be reviewed and updated from time to time.

7. Cookies

Our website uses cookies and similar technologies for essential site functionality, analytics (Google Analytics, Microsoft Clarity), and displaying reviews. You can control or disable cookies through your browser settings at any time. Disabling some cookies may affect how our website functions.

Our services are intended for businesses and are not directed at children. We do not knowingly collect personal data from anyone under the age of 18.
